Process of Ledger Creation, Modification, and Deletion in SwilERP (RetailGraph)

Overview of Ledger Account?

A ledger is a book of accounts in which account transactions are recorded.
  1. The basic purpose of the creation of Ledgers in SwilERP is to maintain records of any type of transactions concerning Sales/Purchases/Cash received,  etc.
  2. With the help of ledgers, it becomes easier to view any transaction that has taken place with the specified date.
SwilERP software has an option in the Masters section to Ledger creation, Modification, and Deletion. To know to do this process, follow the below-given steps:

Start with Login in the SwilERP dashboard to initiate the process:

  1. Go to Masters section:
  1. Select Accounts > Ledger Account.

A new window for creating a ledger account will appear in the next slide.

Process to create New Ledger:

  1. To create a new Ledger Account click on the 'New' tab.

1.) Select Account Details tab:

  1. Select the Group name in which you want to post the ledger account, or you can create a group with the given 'new' option.
  2. Enter the Name of the Ledger Account which you want to create.
  3. Enter the short name in the Alias column.
  4. If required, update the details in Address, Station, Locality, and Pin Code.

  5. The user will mention the GSTIN number of the party which is issued through the government.

  6. Mention the issue date and valid till date of the GSTIN number.

  Note: The fields marked with an Asterisk ‘*’ sign are mandatory to be filled.

2.) Select the Additional Details tab:

  1. Fill in the License detail at your convenience.

  2. Mention the DL No. and PAN No. of the party.

  3. After filling all the details, click on ‘Save’ tab to save the ledger of the party/customer.

How to Modification and Deletion of created Ledger:
  1. Users can easily view all the created ledger accounts in this window. Also, you can Edit (Modification) and Deletion the previously created account ledgers.
  1. Select created Ledger in which you want to modification and deletion.
  2. After that click on Edit and Delete option as per your requirement. 
  3. You can also choose here Print option also at your convenience.

Note: The user cannot delete the ledger whose transactions are been created in the software. However, if the user wants to delete the ledger from the ledger list then firstly delete the transactions of that party, then only desired ledger can be deleted.
