How to Create Refer By/ Sales Person Master in SwilERP Software


During the creation of Sales or Purchase Invoice, there is an option to select "Refer By" name in the column. Refer by indicates the reference of the doctor who prescribes the medicine to the patients, or users can add the refer by name as a salesperson. Selecting the refer by name allows you to view the report's refer-by sales or purchase transaction-wise easily. With this option, users add the commission and discount for the sales/purchase transactions.

Start with login in SwilERP dashboard to initiate the process

  1. Go to the Masters> Customer/Vendor> Refer By option.
  2. After that, a new window of Refer By will appear in the next slide.

Process to Create Refer By Master

  1. Click on the New option.
  2. First, select Refer By For as:
    1. Customer: To create it for customers
    2. Vendor: To create it for vendors
  1. Enter the Name of Refer By in the column.
  2. Enter the short name in the Alias column, if needed.
  3. Now, enter the Contact Details i.e. address, station, locality, pincode, email etc.
  4. Here you can also select the particular Customer name in the column.

In Commission/ Discount Tab:

From this window, you can add the product on which you want to give a Discount and Commission to the refer by or salesperson for their reference.
  1. Select the Product from the drop-down list.
  2. Here, you can add Trade Discount, Scheme Discount or Commission in the columns.
  3. Also, you can select the party (customer) name.

In Target Sheet Parameter Tab:

In this section, users can set the target parameters and update the details for the same process.
  1. Select Generation basis as:
    1. Area Allocation/ Customer/ Sales Invoice.
  1. Select Target Value Basis as:
    1. Billing Rate/ MRP/ Sale Rate/ Trade Rate/ Purchase Rate.
  1. Select the Basis as ProductMarketing companyCategoryor Brand in which you want to set the target. (For example- you selected a product)
  2. Add a Description of the product and select the date range "From" to "To" between which you want to set the target.
  3. Update Target Quantity and Value.
  4. Enter Qty and Value in Qualifying Unit section.
  5. Now, update the incentive and above incentive section you want to give after achieving the targets.
  6. After saving this window, when you do transactions by selecting refer-by name, you can check target achieve details by clicking on the "Update Sales Data in Target Sheet".

In Restricted Product Category tab:

You can restrict the Product Category in this section, and that means these categories are not shown in the list when you do transactions.
  1. Go to the Restricted Product Category.
  2. Select the Product Category. Here you can select multiple product categories.
  3. Now, Save the window to create a Refer by/ Salesperson name.
