What's the meaning of Day Book?

A daybook is a book of original entries in which an accountant records transactions by date as they occur. The information is later transferred into a ledger and summarized into financial statements.
Day Book is like a voucher report as a register type. We use Day Book to see transactions account-wise voucher details. It also shows account-wise posting detail of vouchers. 

How to create a Day Book in SwilERP software?

The SwilERP software has an option in the "Masters" menu to create a day book. In this article, we will discuss the complete process of creating the Day Book. Follow the below-given steps to know the process:

Start with Login in the SwilERP dashboard to initiate the process:

  1. Go to the Masters
  2. Select Accounts > Day Books.

How to create Day Book in the next appearing window:

  1. Select the New tab to create a day book.
  2. If you want to edit in the previously created day book, you can do it with the given Edit option.
  3. To take the printout of a day book details, click on the Print tab.
  4. If you want to delete any day book account, select the below-given day book which you want to delete and press on the Delete option.

After clicking on New tab, select the below-mentioned details:

  1. Firstly, enter the Day Book Name which you want to create. (For example, you entered Jaipur Location)
  2. In the Type option, select - Register Type".
  3. Select  Series of related transactions for which the report is required.
  4. In Column Headings:-
    1. Cr Amt Name- Credit
    2. Dr Amt Name- Debit
  5. In Column Type:-
  1. Accounts : Select accounts which you have to post in vouchers or used in the above-selected transaction series like Sales, Purchase, CGST, SGST, Round Off A/c, Cash Discount, FRIGHT A/c, Other Adjustment etc.
  1. Column Heading, Dr Amt, Cr Amt details are automatically filled in the columns. 

  2. To save the details, click on the Save tab.


      Note: Please note that while selecting accounts, do not select the party name, cash in hand, and bank name.

Now, to generate a Day Book report:

  1. After creating a day book account, if you want to generate day book account reports, select the following parameters for generating proper reports.
  1. Go to the Reports menu.
  2. Select Account Reports > Day Book.
  3. After clicking on the Day Book option, select the Home tab in the appearing window.
  4. Select the Date-Range 'From to To'.
  5. Now select that Day Book which you have created recently (For example, you have selected Jaipur Location).
  6. Select the Report Type as per requirement.
  7. Tick mark if needed:-
    1. Month Wise Total
    2. Day Wise Total
    3. Print Narration
  8. Select the Account tab and apply a filter if required.
  9. Click on the View tab.
