How to Create Refer By name in SwilERP

Meaning of Refer By 

During the creation of a retail invoice, users have to select the "Refer By" doctor name. Refer By indicates the reference of the doctor who prescribes the medicine to the patients. Selecting the doctor's name allows you to view the report's refer-by sales transaction-wise easily. 

In the other way, users can add the refer by name as a salesperson. In which they add the commission and discount for the sales transactions. 

What are the uses of Refer by? 

Refer by is defined as to have directed to someone or something. An example of refer by is for a patient who visits a particular doctor, and the doctor prescribes the medicine and sends them for purchasing medicine. Users can also view the patients' list refer by doctor-wise in the reports section.

Follow the below-given process to create refer-by doctor name

Open SwilERP dashboard in system section 

1. Go to the Master Data> Doctor/Patient List> Doctor List.

Process for creating doctor name

1. Select the Refer By Creating For as: 
   
1. Customer or Vendor 
   
2. Enter the Doctor name in the column. 
   
3. If you want to give the short name, then enter the name in Alias column.  
   
4. Update the Address of doctor. 
   
5. Fill in the details of the Station/ Locality/ Pin Code if you want to add these details.       
   
6. Enter the Contact details of doctor. (i.e. phone/ mobile number, E-mail Id)
   
7. If you want to add a customer to the particular refer-by doctor, select it from the Customer column.

In Commission/ Discount Tab:

From this window, you can add the product on which you want to give a Discount and Commission to the doctor or salesperson for their reference.

1. Select the Product from the drop-down list. 
   
2. Add Discount or Commission amount and select the party (customer) name.

In Target Sheet Parameter tab:

In this section, users can set the target parameters and update the details for the same process. 

1. Select Generation basis as: 
   
1. Area Allocation/ Customer/ Sales Invoice. 
   
2. Select Target Value Basis as: 
   
1. Billing Rate/ MRP/ Sale Rate/ Purchase Rate/ Cost Rate. 
   
3. Select the basis as Product, Marketing company, Category, or Brand in which you want to set the target. (For example- you selected a product)
4. Add a Description of the product and select the date range "From" to "To" between which you want to set the target.
5. Update Target Quantity and Value. 
   
6. Enter Qty and Value in Qualifying Unit section. 
   
7. Now, update the incentive and above incentive section you want to give after achieving the targets. 
   
8. After saving this window, when you do transactions by selecting refer-by name, you can check target achieve details by clicking on the "Update Sales Data in Target Sheet".

In Restricted product category tab:

You can restrict the Product Category for the same doctor by this section, and that means these categories are not shown in the list when you do transactions. 

1. Go to the Restricted product category. 
   
2. Select the Product Category. Here you can select multiple product categories.
   
3. Now, Save the window to create a refer by doctor name.
