How to Export Tally Data from SwilERP (RetailGraph) & Import it into Tally



This article explains how to export tally data from SwilERP and import data in Tally. 

Basic Information 

In SwilERP, there is a feature to export master & voucher data for the tally. Users can export the data from SwilERP to do accounting in tally. The voucher is a supporting document for accounting. And the Master data will help you find every master of accounts. With SwilERP, you can easily export the voucher data by selecting parameters. But first, you have to export masters data and then export the vouchers with the same selected date range.

This option allows you to Tick or Untick few details that you want to include or exclude in the exported data. As below written:

  1. Master: Users select the master option to include all masters detail in the exported data. 
  2. Location with account and group: Always tick-mark on this option to include location wise details. 
  3. Closing stock value: When you tick-mark on this option, the closing stock value will include. 
  4. Opening balance: When you tick-mark on this option, the opening balance will include. 
  5. Alias with customer A/c: If you want alias detail, then tick-mark on it.
  6. Exclude bank vouchers: If you want to exclude bank vouchers then tick-mark on it.

First, login in SwilERP dashboard to initiate the process

  1. Go to the Options section> Export/Import Data.

How to Export the Data for Tally

After that, you will see Export/Import Data window. Follow the below-mentioned steps to initiate the process: 

Step:1 Export Master Data 
  1. Go to the Transactions section and click on the Export for Tally option.
  2. Tick-Mark on the Given Options to include them in the exported file. (Information regarding these options is given at the starting of the article)
  3. To export the master data it is mandatory tick mark on the Master option. 
  4. Select the Rupees symbol from the given options. (Select the rupees symbol as per tally)
  5. Select the Date Range "From" to "To" in which in you want to export the masters. (Only the selected date range data will be exported)
  6. Users can also Regenerate Closing Stock for the given dates by clicking on it.
  7. Click on the Export for Tally option to export the file into XML format.
  8. Select the option between Summary and Detail in which you want to export the master data.
Note: To export the Master Data you have to tick-mark on the "Master" and "Location with A/c and Group".  

As shown in the below-given image:



  1. Press OK to continue.
  2. After that, a pop-up window will appear to select the file path to save it. 
  3. Enter the File Name and Save the file in your selected path. 

As shown in the below-given image:


  1. After saving the file in your system. 
  2. You will get the "Data Exported Successfully" message in the next slide.

Step:2 Export Vouchers Data 

After exporting master data now you have to export the Voucher Data. For this follow the below-mentioned steps. 
  1. Follow the same process as written in "step 1", but the only thing you have to do is untick the Master option.
  2. Click on the Vouchers Type option and tick mark on the voucher by applying a filter on it.
  3. Select same Date Range as same you selected while exporting the master data.
  4. Now, export the data by clicking on the Export For Tally option.

How to Import the Data in Tally

So we saved both files to a folder named ‘TT’. Whenever we want to import data in tally, we need to create a new company according to the financial year as shown in the below image.

After creating a company, we need to create a Bank Account as explained in the given image.

After that, We need to make some settings. We can use Shortcut key ‘F12’ to get the below-given image.

After making the above changes, we need to come to Gateway of Tally to import the data as demonstrated in the below image.

Over here, we will select ‘Masters’ to import the master file from SwilERP. We need to select a master file from the ‘TT’ folder as shown in the below images.

After importing the master file, we need to select the voucher XML file from the ‘TT’ folder as shown the below image.

After doing the above process, data of the SwilERP will be Imported in tally. Now if we want to check data then we need to come to Gateway of Tally -> Display -> Account Book ->Sale Register/Purchase Register. Over here, we can get the required details, as shown in the below image.
