How View NDPS Sales/ Purchase Reports in SwilERP

Viewing NDPS Purchase and Sales Data in SwilERP


In this guide, you will learn how to access and analyze the purchase and sales data for Narcotic Drugs and Psychotropic Substances (NDPS) within the SwilERP system. We will cover step-by-step instructions on navigating through the SwilERP interface to efficiently monitor and review NDPS transactions, ensuring compliance and accurate record-keeping.

Note:
In SwilERP, the NDPS reports section includes two types of reports: Sales and Purchase. This article focuses on how to view the NDPS sales report. You can follow the same steps to view the NDPS purchase report as well.

Step 1: Update Product Master

Begin by entering the NDPS Category and Generic Name in the Product Master:
  1. Navigate to the Product Master section by following this path: Masters > Inventory > Product.
  2. Select the desired Product Name from the Product Master list.
  3. Modify the selected product details.
  4. Enter the appropriate NDPS Category and Generic Name.

Step 2: Verify and Correct Product Packing

Verify and correct the product's packing information (Contains and Sell Loose). Ensure the quantity is specified in loose units as required by government regulations for the NDPS report.
  1. Navigate to the Product Master section by following this path: Masters > Inventory > Product.
  2. Select the desired Product Name from the Product Master list.
  3. Modify the selected product details.
  4. For a strip of 10 tablets, enter "10 Tab" in the Contains field and enable the Sell Loose option.
*For syrups, do not enable the Sell Loose option.

Step 3: Update Generic in Products

  1. Navigate to Options > System Maintenance to update the Generic Name in products.
  2. The software will display a screen for updating the Generic Name.
  3. On this screen, select the Facilities tab.
  4. Click on Update Generic in Product to proceed with the update.

  1. Use filters to find the products you need.
  2. Choose the right Generic Name for each product.
  3. Click Change to save your selections.
  4. Software will update the Generic Names in the Product Master.

Step 4: Update Category in Products

  1. Navigate to Options > System Maintenance to update the Category in products.
  2. On this screen, select the Change Values tab.
  3. Click on Category in Product to proceed with the update.
  4. Select the Present Value of category from the drop-down list; then, the selected category products will be displayed.
  5. Now tick mark on which product category you want to change into new category. (you can select all products also as per requirement).
  6. Select the New Value of category and click on the change tab.

Step 5: View NDPS Drug Details in SwilERP

To access NDPS drug details in SwilERP, follow these steps:
  1. From the main menu, go to Reports.
  2. Select NDPS Reports from the dropdown menu.
  3. Access NDPS Sales/Purchase Reports:

In the NDPS Sales Report Window:

  1. In Home tab, enter the date range 'From' to 'To' for the period you want to view the report.
  2. Select and filter your product, if required.
  3. Select the series list, if needed.
  4. Check the box to include challan and returns, if necessary.
  5. Check the box for Print Qty (Unit 1), if required.

  1. Click on the View button to display the details based on the selected options.

To View in Chart Format:

  1. Click on the Chart Option.
  2. Simply select the chart option from the menu.
  3. Users have the flexibility to choose the type of chart that best suits their needs.

For Printing and Previewing Reports:

  1. Go to the Display option.
  2. Click on the Print and Preview option to print your reports.

For Converting Reports to Excel:

  1. Click on the 'T' then select the option in which you want to view your reports.
