Implementing the Audit Trail (Edit Log) Feature

How to Implement Audit Trail (Edit Log) Feature in Unisolve & Cross Software


To ensure data accuracy and integrity, the audit trail or edit log feature is essential for accounting software users. This feature helps record all transactions and track any modifications or changes made to them. Unisolve and Cross software has incorporated this feature to ensure that all your edited transactions are recorded and tracked for future reference.
To implement the audit trail or edit log feature in Unisolve and Cross software, you can follow these simple steps:

Note: The process to implement the audit trail or edit log feature in Unisolve software can also be applied to Cross software. So, if you are a Cross software user, you can follow the same steps to enable this feature.

Start with Login in the Unisolve dashboard to initiate the process:


 


Step:1  Enable Audit Trail Feature













  1. Open Unisolve software, and to take the backup, a new window will open. 
  2. Here click on the Update Registration option.

  1. On the next screen, you will see the 'Client Registration Form' window.
  2. Look for the 'Audit Trail' option and tick-mark it to enable the feature.
  3. You will need to enter a new password to activate the feature. You can ask for this password from Swil.
  4. Once you have entered the password, click on 'OK' to confirm and save the changes.

Step:2 Select Transaction Series to Create Log Entries:

The first step is for users to enable the Transaction series to create Log Entries.
  1. Go to the System tab.
  2. Select System Maintenance > System Parameters option.

  1. After that, a pop-up window will appear where you need to enter the password "USSC." 
  2. Once you have entered the password, the System Parameters window will appear on the next slide. 
  3. Here, you should select the System tab first. 
  4. Then, scroll down the window and double-click on the 'Select Transaction Series to Create Log Entries' option.

  1. After that, a pop-up window will appear where you need to click on the "..." button to select the path for the transaction series to create log entries.

  1. In the Log Series window, select the required Transaction series.
  2. Click "Ok" to proceed and close all open windows.
  3. Finally, close the System Parameters window by entering the password "USSC."

Step:3 Edit in Wholesale Invoice:

  1. Go to the Sales menu > select Wholesale Invoice.
  2. Select a previously created Wholesale Invoice that needs to be edited.
  3. For example, the user makes changes to the invoice shown below.

  1. Now the user has modified the product quantity and gross discount percentage.

Step:4 View Transaction Logs

  • Go to the System menu.

  • Select the Audit Trail > View Transaction Log.

  1. After that, the Audit Trail window will appear, where you can select the Date Range for which you want to view the transaction log details.
  2. You can also select the Transaction Type for which you want to view the log details.
  3. Finally, click on the "OK" button to continue with the process.

  1. After that, the Log Information for Wholesale invoices will appear according to the selected parameters. 
  2. You can view all the logs for the Wholesale invoices. 
  3. For instance, if you modified "Invoice No.1" and want to view its Log details, you can select the invoice number and click on the "View Log Details" option. 
  4. Alternatively, you can press "Ctrl+J" to view the Log Details.

  1. The selected invoice's Log Details will appear, showing the latest changes made to the wholesale invoice as well as all previous modifications.
  2. Review the information provided in the window to see the details of the changes.
  3. Once you have reviewed the information, you can click on Ok or Exit to close the window.

Note:

(1) Note that in the Log Details window, the products that appear in green indicate they were added to the wholesale invoice, while products in orange indicate they were deleted.
(2) Pay attention to these color-coded indicators while reviewing the Log Details to ensure accurate record-keeping.
