Process to Analyse Trial Balance in SwilERP Enterprise


The Trial Balance, a pivotal financial document, showcases the closing balances of general ledger accounts, setting the stage for period-end book closure. SwilERP users seamlessly navigate this report within the accounts section. This feature not only provides a comprehensive account summary but also delves into debit-credit variances. Users have the flexibility to choose between Summary-wise and Detail-wise reports, enhanced with an intuitive pivot table, offering analysis of financial Details.

Start with Login in SwilERP Dashboard to Initiate the Process

  1. Go to Menu> Analysis> Trial Balance.

  1. Select the Report Type as Summary or Detail in which you want to view the report.
  2. Tick Mark on the Credit/ Debit detail or Show Nil Balance A/c, if you want to include it in report.
  3. Select As on Date till which you want to see data.
  4. Select Group name from the drop down list of which account you want to view data i.e., bank account, direct expenses, Assets/Liabilities, etc.
  5. Click on the View button.
  6. Next, the details will be displayed on the screen below. Select the relevant fields by ticking the checkboxes to create a customized receivables report.
  7. You have the flexibility to rearrange fields as per your needs through simple drag-and-drop actions.

Creating Customizable Reports

Users can personalize reports by selecting specific parameters. Follow the steps below for detailed customization instructions.
  1. In the given drag fields areas, go to any field and click on the right tab of mouse.
  2. There you will see some options. Click on the field settings option.

  1. Next, a new window of Field Setting will appear.
  2. Here you'll see multiple options to customize report:
    1. Filter
    2. Subtotals
    3. Show As
    4. Format
    5. Display
    6. High Values
    7. Low Values
  1. Here you can choose the filter and applied it on report to customized it.

View Reports in Graphical Format

  1. Select the Chart tab to visualize the report in a graphical format.
  2. In this section, you will find a visual representation of the report, displaying every detail graphically.

  1. You can also view the report in Raw Data, where you can find every detail.
  2. Click on the raw data and there you will see receivables report.

How to Save Customized Report

To save your customized report, follow the steps below.
  1. Provide the desired name for saving this report.
  2. Click on the Save button.

  • You can export the report by choosing the saved report name from the column above.
  • Choose the report name and click on Export. Similarly, you can import the exported report using the Import option.
  • To reopen the report in the future, follow these steps:
  • Open the Trial Balance report.
  • Select the Date as you selected before.
  • Select the Report name and click on the Open button.
