How to View Payables Ageing Report in SwilERP


Meaning of Payable Ageing

The payable ageing report is an important document that summarizes invoices owed by a business and the due date of vendor payments. It shows columns with amounts grouped into due amount, net amount, PDC amount, ranges for the number of days past due, and a total amount column. In this report, users can enter the numbers in which they want to view report, i.e. 0-5, 5-10, 10-15, 15-20. Follow the steps below to know the process for viewing the payables ageing report.

Start with Login in SwilERP Dashboard to initiate the process

  1. Go to the Payments Menu> Payables Ageing

Process to View Payables Ageing Report in Home Section

    1. Select As on Date, in which you want to view the report.
    2. Select Report Type as Summary/ Detail/ Month wise/ Day wise.
    3. Enter the Ageing numbers in which you want to view the report, i.e. 0-5, 5-10, 10-15.
    4. Choose the options from the Select tab in between:
      1. Include Debit Note
      2. Exclude Debit Note
      3. Show Debit Note 
    5. Select Reports:
      1. As On
      2. Consider Bill Up To
    6. Select Refer By as Area Allocation, Vendor, Invoice in which you want to view the reports.
    7. Select Balance type All/ Debit/ Credit.
    8. Users can also filter the Series according to the requirements.
    9. Tick-mark on the options, if required:
      1. Auto Adjustment (Whenever you tick a mark on this option, the report will show after adjusting all the advance payments automatically)
      2. Consider PDC as paid
      3. Consider Due Date
    10. Now, you can choose the particular Account/Vendor/ Refer By to view the report.
    11. Click on the View tab.
    12. And, there you will see payables ageing details on the below-given screen.

    Process to View Payables Ageing Report Area-wise

    1. Go to the Area Section.
    2. With this report, you can view the details Area-wise.
    3. Choose the below-given options:
      1. Region
      2. Area
      3. Locality
      4. Customer
      5. Product
      6. Refer By (Zone), etc.
    4. From these options, you can view the details by selecting them.
    5. Click on the View option.
    6. After selecting these options, the report will reflect according to the options chosen.

    Process to View Payables Ageing Report Station-Wise

    1. Go to the Station Section.
    2. To view the details station wise, select the below-given options:
      1. Country
      2. District
      3. Customer
      4. State
      5. Station
      6. First Refer By
    3. Click on the View option.
    4. After selecting these options, the report will reflect according to chosen option.

    How Can You Analyze Payables Ageing Report?

    In this section, you can analyze your payables ageing report. You can find this report similar to the pivot table, in which you can view the due payment amount details.
    1. Go to the Analysis section.
    2. Select the details as same as you selected in the Home section.
    3. Click on the View option.
    4. After that, Choose fields to add to report. Tick-mark on the options; then, they will automatically field in the below-given areas.
    5. You can also Drag fields between below-given four areas: Filter, Columns, Rows, Values.
    6. The data reflect in the Analysis Grid section.

    1. Click on the Chart tab to view the report in chart format.
    2. Here you'll see the report's chart along with reflected every detail.

    1. You can also view the report in Raw Data, where you can find every detail.
    2. Click on the raw data and there you will see Payables Ageing report.

    To Print and Preview the Payables Ageing Report

    1. Go to the Display section.
    2. Select the Print and Preview option to take printout of the report.

    To Export the File in Excel Format

    1. Go to the Display section.
    2. Click on the ''T'' button, and there, you'll see the options to convert your report into an excel file.
