How To Do Re-order Management In SwilERP (RetailGraph)


How does Re-order Management work? 

A business, at any time, needs to maintain enough stock to meet customers' needs. Users can re-order stock at minimum/maximum levels according to their requirements. The users can view their re-order data in the Reports section. 


In the SwilERP software, there is an option to view Re-order inventory data as per the user's need. In this report, the users can compare their stock at three levels to manage Re-order inventory: Minimum  level, Given qty, and Last Sales.  Follow the below-given steps to manage your inventory based on three levels.




Start with Login in the SwilERP dashboard to Initiate the process:

  1. Go to Reports > Inventory Reports > Reorder Detail.

How to manage Re-order with this window:

  1. Firstly, go to the Home tab.
  2. If the user wants to re-order stock from a particular vendor, select the Vendor name from the drop-down list. You can create a vendor with the given 'new' option.  After that choose the option of "Selected Vendor" and click on the Update to order book / Update to Purchase Order.
  3. Select any options in Last Vendor/ Best Vendor and click on the Update To Order Book/Update To Purchase Order, and stock will be re-ordered to the respective vendor accordingly.
  4. Select Invoice Attribute, if required.

  5. Tick/untick in the   Round off Loose Qty box to Packed Qty.

  6. If you want to apply filters to your data, you can click on the Product/Invoice Attribute/Series tab and use all the filters.
  7. Users can manage re-order details as per the below-mentioned options:  

    1. Generate '  Location  ' wise Reorder
    2. Generate '   Product  ' wise Reorder
    3. Generate '   Color  wise Reorder
    4. Generate '   Batch  ' wise Reorder
  1. If users want to view  group-wise  details, select below given options:
    1. Category
    2. Marketing Company
    3. Brand
    4. Product
    5. Strength
    6. Generic
    7. Schedule
  2. If required, select  Station from the Station list.
  3. Now click on the  View  tab.

How to view details in Chart form:

  1. Click on the  Chart tab.
  2. Inside the chart tab, given many options , the users can select these options as per the requirement.

How to Preview and Print Report:

  1. Go to the  Display section. 
  2. Click on the  Preview tab to preview the report before printing. 
  3. Select the  Print tab to take a printout of the report.

How to send an E-mail and Export this report:

  1. From the   Display section.
  2. Click on the 'A' option to share an E-Mail of the report. 
  3. Click on the 'T' point and select any export option from   Excel, PDF, Text, or HTML.

View details and Order Basis For Min/Max Level:

  1. The users can compare their stock at three levels to manage Re-order stock, which is the Minimum stock level, Given quantity, and Last Sales.

Level 1:- Compare inventory with Minimum Stock Level:

  1. Select Order Basis for Min/Max Level Section.
  2. When the user wants to compare their inventory with the minimum stock level, select the Product Master option.
  3. Enter the Case Lot% and Box Size % if the users want to affect the re-order quantity per these options.
  4. If you tick a mark in the other boxes, it will also affect the Re-order quantity.
  5. If the user wants to re-order the stock, go to the home section and click on the Update To Order Book/Update To Purchase Order, and stock will be re-ordered accordingly.
  6. After following all the above steps, to view the Re-order data, go to the 'Home' section and click on the View tab.

Level 2:- Compare inventory with Given Quantity:

  1. If the user wants to Re-order stock and view the details, select the  Product (Days)  option.
  2. Enter the  Date Range  'From' to 'To.'
  3. Enter the   Case Lot %   and   Box Size %   if the users want to affect the re-order quantity as per these options.
  4. If you tick a mark in the other boxes, it will also affect the Re-order quantity. 
  5. If the user wants to re-order the stock, go to the ' Home ' section and click on the   Update To Order Book/Update To Purchase Order , and stock will be re-ordered accordingly.
  6. Click on the  View tab to view the re-order details, and the re-order details will be generated.

Level 3:- Compare inventory with Last Sales:

  1. Select the Days Sales option if the user wants to re-order stock compared with the last sales and view the re-order details.
  2. Enter the M in/Max days of inventory.
  3. Enter the   Case Lot %   and   Box Size %   if the users want to affect the re-order quantity as per these options.
  4. If you tick a mark in the other boxes, it will also affect the Re-order quantity. 
  5. If the user wants to re-order the stock, go to the ' Home ' section and click on the Update To Order Book/Update To Purchase Order options and the stock will be re-ordered accordingly. 
  6. To view the details of the re-order, go to the ' Home'  section and click on the View tab.

Note:-  You can also re-order stock by the below option:

Select the   Re-order Qty  option, enter the properties of total sales you want to order, then subtract the Current Stock  from it.


To view the Not Ordered Inventory Report :

  1. Go to the  Not Ordered section.
  2. Select any option according to the user's requirement and which details you want to view.
