How to View Trial Balance in SwilERP Software


The trial balance is a crucial accounting report that displays the closing balances of various general ledger accounts at a specific moment. It serves as the initial step in finalizing the books at the end of an accounting period. In SwilERP, users have the convenience of accessing the trial balance through the accounts section. This feature provides a concise overview of account data and highlights the variances between debit and credit transactions.

 

There is an option to view two types of reports in trial balance:
  1. Summary wise
  2. Detail wise

Start with Login in SwilERP Dashboard to initiate the Process

  1. Go to the Accounts> Statement> Trial Balance.

How to View Trial Balance

  1. A new window of Trial balance will appear in the next slide.
  2. First, select the report type as Summary or Detail in which you want to view the report.
  3. Tick-Mark on the Credit/ Debit detail and Show Nil Balance A/c, if you want to view these detail in report.
  4. There is an option of As on date to view data on the selected date; select the date.
  5. Users can also view Group name-wise data; for this select the group name from the drop-down list.
  6. Click on the View option.

After that, in this window, you'll see the following details.
  1. Purchase Accounts: In this, users can view the purchase transaction amount and summarized data by double-clicking on it.

  2. Sales Accounts: With this, you'll see the sales transactions amount, and a data summary will appear by double-clicking on it. 

  3. Opening Stock: Data on opening stock is also available in this section. 

  4. Current Liabilities: Users can view their business's liabilities amount along with duties & taxes amount. 

  5. Current Assets: View current assets' amounts along with cash in hand details.

  6. The difference between the debit and credit sides is also shown in the trial balance.

There is an option to choose Format file to print and preview the file in the following formats:
  1. Trial Balance Detail 
  2. Trial Balance Summary 
  3. Trial Balance (Selected period) Detail
  4. Trial Balance (Selected period) Summary

Export trial balance in excel file

In SwilERP, there is also an option to export statements in excel format. Users can easily export reports in an excel file with the export file option. Do follow the below-given steps:    
  1. Go to the Display section. 
  2. Click on the "T" option, select the excel option to convert you statement.
