User Controls availability in Unisolve / Cross

In this article we have explained you How to implement & set User Controls in Unisolve/Cross. This is very important to secure our Data. For know about these features, we have explained you all points/features as per following. 

  1. Lock all Transaction: Through this option you can lock all transactions with enter Lock Date & Lock Days in System Parameters. When you enter Yesterday lock date, then any User do not open any transactions as per given date. For this please enter “Lock Days & Lock Date” through Account Tab in System->System Maintenance->System Parameters->Account Tab.(Question No. :52) Screen as per below: 



  1. User wise Date lock for all Transactions: Through this option you can lock all transactions User wise with enter Lock Date & Lock Days through User Master. When you enter any lock date, lock days then particular this User do not open any transactions as per given date. For this please enter Lock Date & Lock Days in Administrator-> User List menu. Screen as per below:




  1. User wise menu Lock & Hide: In this option you can Lock & Hide any option to any User. If you want to lock options User wise then you can do this also. For this please select User Name & then select menu which you wants to lock for this user. This option is available in Administrator->User Rights menu. If you want to hide also these menus then please tick “Hide menu” option in administrator->User List. Screen as per below:




  1. User wise Price edit option: Thorough this option, you can lock to change Sales Price in the time of making Sales Invoice for Non Super User. For do this please Untick “Allow Users to Edit in Sales Invoice (Price) in System->System Maintenance->System Parameters->Edit Tab. (Question No.:1) 


  1. Lock GST Transactions through GST Lock Date: In many times your accountant wants to lock GST transactions after complete his work. For do this you can enter GST Lock Date in “Update GST Lock Date” option in GST menu. After enter this date any User does not change in any Transactions. Screen as per below:




  1. Option to lock previous date Invoices & changes done only today’s Invoices: Thorough this option any User done changes only in Today’s Sales Invoices. For do this please enabled “Changes in Today’s Invoice” option through System->System Maintenance->System Parameters->Standard Tab. (Question No. :16) 


  1. Billing Lock as per Credit Limit & Credit Days: In this option you can lock your any Customer’s billing when Outstanding is overdue as per particulars customers credit limit which you decided Customer wise & enter in his Customer Master. After do this when any Customer’s outstanding has been overdue as per given credit limit then software auto locked his Billing when any user make Sales Invoice. In this option we have given 4 options. We have explained you as per following:
  1. Without Warning: When you select this then software not given any warning when any customers outstanding is overdue & they allow also for make Sales Invoice.
  2. With Warning: When you select this then software given only warning when any customers outstanding is overdue & they allow for make Sales Invoice.
  3. Lock for All Users: When you select this then software not allow to makes Sales Invoice to any User when any customers outstanding is overdue.
  4. Lock for Operators: When you select this then software not allow to makes Sales Invoice to any Non Super User when any customers outstanding is overdue. In that case software only allow to make Sales Invoice for Super User only. 

Note: These all above works when you can enter Credit Days, Overdue Days, Credit Limit & Overdue Limit in Customer Master.

(Question No. : 38) Screen as per below:




  1. Rate Hike option: If you wants to Hike your Sales Rate for particular any customer, then please mention Rate Hike % in Customer Master. After do this software auto calculate Sales Rate for particular this customer as per Rate Hike %. Screen as per below:



If you wants to Hike rate Company wise for particular Invoice in the time of making of Sales Invoice. Then please press Ctrl+F7 key for Hike rate Company wise. Screen as per below: 



  1. Edit Scheme Lock: In this option you can lock Scheme when use not given scheme as per fixed scheme. Following some options to lock Scheme:
  1. Message Master Scheme Not Issue:
  2. Batch Scheme Not Equal in Sales:
  3. Batch Scheme Greater than in Sales:

(Question No. :97) in Standard Tab in System->System Maintenance->System Parameters) Screen as per below:




  1. Customer Category wise Scheme: Through this option you can set Customer Category & set Scheme also as per Customer’s Category. You can define Customer Category in Customer Master Like: A, B & C. After that when you set Scheme master then system also asked Customer Category. If you select ABC in this then this scheme applicable for all customers but if you select only A in this then scheme is applicable only for A category Customers. Screen as per below:






  1. Batch wise Scheme: Through this option you can set Batch wise scheme in Scheme Master. For this when make Scheme Master in System-> Master Data-> Product Information then please select Batch No. also after select Product Name. After do this software allow scheme only particular this batch. Screen as per below:




  1. Date wise Scheme: Through this option you can set Date wise scheme in Scheme Master. For this when make Scheme Master in System-> Master Data-> Product Information then please enter Start Date & Finis Date of Scheme. After do this software allow scheme only particular dates. Screen as per below:




  1. Net Rate < Sales Rate Lock: When make Sales Invoice & any User given Scheme, Discount & set Sales Rate below your Net Purchase Rate, then software auto show warning message. “Net Sales Rate is less than Net Purchase Rate. Screen as per below:



  1. Auto Sales Rate calculation in Purchase: In this option software auto calculate Sales & Trade Rate as per new M.R.P. & Purchase Rate when you entered Purchase Invoice. For do this please select “Sales Rate & Trade Rate” in calculate in Purchase Method menu which exists in System-<Master Data menu. Screen as per below:



  1. Auto Calculate Sales & Purchase Rate as per Purchase M.R.P.: Though this option you can set your Minimum Sales % Margin & Minimum Purchase % Margin in Product Category Master which exists in System->Master Data->Product Category (type) menu. For do this please enter % of Min. Sale Margin & Min. Purchase Margin in this menu. Screen as per below: 



  1. Set Scheme for Sales at the time of Purchase: Through this option you can set your Sales Scheme also as per Purchase Scheme when you enter your Purchase Invoice. For do this please enable “Update Scheme for Sales” in Standard tab which exists in System->System Maintenance->System Parameters option. After do this a new window auto opens for update same Scheme for Sales Invoice also which you received in Purchase time. You can also set Scheme Discount same for Sales Invoice as per Purchase Invoice. (Question No. :29) Screen as per below: 





Set Discount for Sales at the time of Purchase: Through this option you can set your Sales Discount also as per Purchase Discount when you enter your Purchase Invoice. For do this please enable “Update Discount for Sales” in Standard tab which exists in System->System Maintenance->System Parameters option. After do this a new window auto opens for update same Discount for Sales Invoice also which you received in Purchase time. You can also set Scheme Discount same for Sales Invoice as per Purchase Invoice. (Question No.:30)


  1. Update Purchase History option: When you run this option then software auto update your all Purchase History as per your previous year data also. This option is very useful when you check any Product’s History & this option is also help to auto update Invoice No. when you make Sales/Purchase Return. Screen as per below:



  1. Auto Pick Invoice No. in Returns: When you make Sales/Purchase Return note through Adjustment menu, then software auto pick & update your Sales/Purchase Invoice no.’s Product wise. 
  1. Purchase Order Calculation: (Based on Sales/Average Sales): When you make Purchase Order then software makes Purchase Order as per Last Sales basis. Screen as per below:


  1. Check Negative Cash Balance: Through this option you can check your Negative Cash Balance Date wise. For this you can check & enter “CASH” account in Inquire Transaction option which exists in Queries menu. After enter this you can select date range then software shows all Transaction of Cash. After that please press Ctrl+P & select F3=Daily Balance then select Credit Balance for check Negative Cash Balances. Screen as per below:



  1. GST Query for difference check: In GST Query you can check Account differences also when press Account Details Tab. For this please generate GST Query through GST menu & enter Date Range then software shows your GST Data. After that press on Account Detail to check Account Differences with your Ledger Balance. Screen as per below:



  1. Near Expiry message at bottom: If you wants to shows Near Expiry message & Expired Items message in the bottom of Sales Invoice when making this then please enable “Show Expiry Message” in user Master which exists in Administrator menu. After that software shows Expiry line in bottom side when makes Sales Invoice. Screen as per below:




  1. Auto email for Purchase Order/Sales Invoice/Sales & Stock Statement: You can send Mail/SMS to our Customers/Suppliers/M.R. in daily/weekly/monthly basis. To do this please set Mail/SMS schedule through Utility->Email/SMS System (Beta) Mail Schedule option. After this system auto send Mail/SMS as per your set Schedule. Screen as per below:



  1. Lock Sales Entry: Through this option you can lock your Sales entries of particular Company, particular Product, Particular Customer, and Particular Batch. For do this please enter Customer/Product/Master Group/Batch  in Lock Sales Entry option which exists in System->Master Data->Product Information->Lock Sales Entry menu. Screen as per below:



  1. Show Discontinued Customer/Supplier/Product: If you don’t wants to show your Discontinued Products/Customers/Suppliers while making Sales/Purchase Invoice then please tick on “Show Discontinued Product/Customer/Supplier option in Standard tab which exists in System->System Maintenance->System Parameters option. (Question No. :44,45 &46) Screen as per below: 



  1. Display Net Sales Rate in Sales Invoice: If you want to show your Net Sales & Purchase Rate when making Sales Invoice, then please enable “Display Net Sales Rate In Sales” option in Standard Tab which exists is System->System Maintenance->System Parameters menu. (Question No. :39) Screen as per below:





  1. Auto Batch Selection in the time of making Sales Invoice: If you want, Software auto select Batch No.’s as per Qty. when you make Sales Invoice then please enable ”Auto Batch Selection” through System Tab in System->System Maintenance->System Parameters menu. After do this when you make 35 qty. sales invoice & if 2 batches available which old one current qty. is 15 & second batch qty. is 50 then software auto picked old batch qty. as 15 & rest qty. of second batch no. By Default this options is Disable in System Parameters. (Question No.: 5)
  1. Show Message for D.L. No. Expiry (Before Days): After enable this your software not allow to billing any Customer which D.L. already expired. Software shows msg when you make & save your Sales Invoice. For do this please enabled “Show Message for D.L. No. Expiry (Before Days)” in System Tab in System->System Maintenance->System Parameters (Question No.:26). Screen as per below:



  1. Select Transaction Series to create Log Entries: Through this option you can generate Log Entries for selected Transactions. You can select Transactions as per your requirement which you want to create Log Files. For this you can select Transaction Entries in System Tab in System->System Maintenance->System Parameters menu. Screen as per below: (Question No.:44)



  1. Lock Printed Sales Invoice: If you want to not print any Invoices again of any User which Invoices already Print then please enable “Lock Printed Sales Invoice” through Standard Tab in System->System Maintenance->System Parameters menu. (Question No.:23) By Default it’s False in System Parameter.
  1. Allow Cancel Sale Invoice in Data Entry Mode: If you want to not allow to your Non Super User to cancel any Sales Invoice, then please disable “Allow Cancel Sale Invoice in Data Entry Mode” through Standard Tab in System->System Maintenance->System Parameters menu. By Default it’s True in System Parameter. (Question No.:47)
  1. Allow Blank Expiry Date in Purchase: If you want to not allow entering any Product without Expiry Date when any User makes Purchase Invoice, then please disable “Allow Blank Expiry Date in Purchase” through Standard Tab in System->System Maintenance->System Parameters menu. By Default it’s True in System Parameter. (Question No.:48)
  1. Lock to add Sales Invoice: If you wants to not Make/Add Sales Invoice of any User, then please enable “Lock to add Sales Invoice” through Standard Tab in System->System Maintenance->System Parameters menu. By Default it’s False in System Parameter. (Question No.:59)
  1. Edit Opening Balance: If you wants to not allow to edit your Account Balances of any User then please disable (select False) “Edit Opening Balance” through Account Tab in System->System Maintenance->System Parameters option. By Default it’s True in System Parameter. (Question No.:5)
  1. Show Opening Balance Difference: Through this option you can check your Opening Balance Differences if any as per Last Year Closing Balances. When you do this software auto open Opening Balance Difference window when you Open/Start Software. To implement this please enable “Show Opening Balance Difference” through Account Tab in System->System Maintenance->System Parameters menu. By Default it’s False in System Parameter. (Question No.:11)
  1. Backup at End: If you want to take Backup when closed your software then please enable “Backup at End” through Account Tab in System->System Maintenance->System Parameters menu. By Default it’s False in System Parameter. (Question No.:13)
  1. Hide Report Parameters (Sales & Stock Statement): Through this option you can hide your Report Parameters of Sales & Stock Statement report. It is very useful if you don’t want to change Sales & Stock Report Parameters regularly & don’t allow changing any User. For this please enable (True) “Hide Report Parameters (Sales & Stock Statement)” through Others Tab in System->System Maintenance->System Parameter menu. By Default it’s False in System Parameter. (Question No.:2) Screen as per below:

  1. Customer List by Sales Man: Through this option when you make Sales Invoice then software asked firstly Sales Person Code then shows Customer List as per Sales Person. It is very useful for those clients which works & make Sales Invoice Sales Person wise. To do this please Enable/True “Customer List by Sales Man” through Others Tab in System->System Maintenance->System Parameters menu. By Default it’s False in System Parameter. (Question No.:3)
  1. Auto applies Scheme Discount in Returns when select Invoice No.: This option is very useful. When you enable this then software auto picks your Discount & Scheme Discounts also when you make Credit Debit Note as per your Discount Master which you entered for Sales. To do this please Enable/True “Use Discount Master in Credit Note” through Others Tab in System->System Maintenance->System Parameters menu. By Default it’s True in System Parameter. (Question No.:4)
  2. Ctrl+F2 Lot Rate: When any user used Ctrl+F2 key in Sales Invoice for Lot Rate, then Free Qty auto blank due to when any user gives Lot Rate then no need to give Free Qty also.
