How to Set Reminder Option for Patient/Customer/Supplier in Cross


Customer delight is essential for retaining clients and generating referrals. In this context, the Reminder feature plays a crucial role in boosting sales and enhancing our service to customers. You can now share reminders with your patients via WhatsApp and Email. This article will guide you through the new option "How to Set Reminder" in Cross.

This feature is particularly beneficial for retailers using our Cross software, allowing you to set reminders in various ways.

  1. Patient/Customer monthly Medicine Purchasing Reminder
  2. Patient/Customer monthly Vaccination Reminder
  3. Patient/Customer monthly Check Up Reminder
  4. Patient/Customer/Suppliers Birthday/Anniversary Reminder
  5. Patient/Customer/Supplier Payment/Receipts Reminder
When you set any reminder for Patient/Customer/Supplier for a particular date, then software auto opens a Reminder Window when login Cross software.

To implement Reminder in Cross, please install our latest patch 16.3.1 & follow these steps:

Step I: Enable Show Reminder Option

Please True/Enable “Show Reminder” option through System Parameters. (System-> System Maintenance-> Accounts Tab). Screen as per below:

Step II: Create WhatsApp Schedule

    If you want to send reminders to your patients, you can share them via WhatsApp and Email. To do this, you need to create a WhatsApp Schedule.

    1. Go to the Utility> Email/SMS system> Mail Schedule.

    1. Select the option for SMS.
    2. Choose "WhatsApp" from the drop-down menu.
    3. Select "Other" from the available options.
    4. Next, select "Patient" in the "Send To" column.
    5. An auto-generated message will appear in the message column.
    6. If you wish to add any remarks, include them in the column.
    7. Press "OK" to create the schedule.

    Step III: Create Sales Invoice

    • After creating a Sales Invoice, you can set a reminder for next month’s purchasing.
    • To create a reminder for a specific patient, press the “Ctrl+R” key.
    • Pressing Ctrl+R opens the Patient Reminder Information window.
    • The software automatically populates:
      • Patient Name
      • Invoice Number
    • You can enter remarks in the Remarks field, such as:
      • Medicine Purchasing Reminder
      • Vaccination Reminder
      • Regular Check-Up Reminder
    • Select the desired DateMonth, and Year for the reminder.
    • In the Day and Month options, you’ll have choices for:
      • All Days
      • All Months
    • For example, if you select the date 19 and choose All Months, the software will show a reminder on the 19th of every month.
    • Set the reminder according to your requirements.
    Notes
    Note: You can set multiple reminders by using the Ctrl+R shortcut key while creating & modify the Sales Invoice.

    Example: If you want to set reminders on multiple dates, such as the 28th, 29th, and 30th of January, you can do this by pressing the CTRL+R key multiple times in the sales invoice. After that, the message will be automatically shared with the patient through WhatsApp.

    Note: You can also add the patient's mobile number directly to the sales invoice while creating it, allowing you to set the reminder at the same time. For this you have to enable an option "Patient Select By Mobile No. in Invoice" in system parameter window.

    Step IV: Check Reminder List

    • The “Reminder List (Patient)” can be found in the System Master Data, where you can view all created patient reminders.
    • You can create reminders through this master as well.
    • When you enter a patient’s name in the Patient Master:
      • If you input the patient’s Birthday or Anniversary Date, the software will automatically create a reminder for that date.
    • The reminder will open on the specified date.
