How to Create and Manage a Sales Challan in SwilERP

Sales Challan is an agreement to sell the goods in which property/ownership of the goods is not passed to the buyer till an Invoice is prepared. The customer only has possession of the goods but is not the owner. The SwilERP software has an option for creating a Sales Challan. Do the following steps to create a sales challan entry:

Start with Login in the SwilERP dashboard to initiate the process:

  1. Go to Sales > Sales Challan.
                         Or
   Shortcut key to creating Sales Challan press "Alt+F3".

How to add customer details:

  1. Click on the Home tab.
  2. Select the Customer name from the drop-down list, or create it manually with the given 'new' option.
  3. Add a Reference Number and add more details as per your requirements.

How to add Products details:

  1. Please select the product from the drop-down list, or you can create it with a given 'new' option.
  2. Select the Batch no of the product, and MRP, Sale Rate, and Amount will automatically be filed.
  3. Enter the quantity of the product.
  4. You can select multiple products here.
  5. Save the window.

To Print and Preview the Sales challan:

  1. Users can easily preview the challan invoice and take the printout:-
  1. Go to the View tab. 
  2. Select the Preview option if you want to view the invoice. 
  3. To take the printout, click on the Print tab.

How to convert challan into invoice:

  1. Go to Sales Invoice.
  2. Select the name of the customer name that you've created a sales challan.
  3. Go to the Clear Challan option.
  4. Tick-mark on the invoice number which you want to convert into a sales invoice.
  5. Then Press OK.

To save the Clear Challan:

  1. After selecting the Product details, all further details will be fields automatically.
  2. Now Save the page to convert challan into an invoice.

Other options of the Home menu

While creating a sales challan, users can select the following options from the Home menu:
  1. Shipping Details- You can select shipping details from this option, in which you've to fill in the E-way bills detail.
  2. Tax Details- You can select the tax details of the product from this option.
  3. Promotion Details or Apply Promotion- Select and apply product promotions from these options.
  4. Add/Less- You can select Billing Head from this option.

While creating a sales challan, users can select the following options from the View menu:
  1. Preview: If you want to take the printout, you can view the invoice before printing.
  2. Print Barcode: You can Print the barcode from this option.
  3. Print Options: You can set up your printer with the help of this option.
  4. Cancel Changes: If you don't want to change the invoice, use this option.

  1. Header Layout: You can set Header Layout options from here.
  2. Grid Layout: You can add more columns from this option.
  3. Ribbon Layout: You can set ribbon options from this option.
  4. Save Layout: After setting the layout

  1. Find: To search the entry, use this option.
  2. Copy To New: If the user wants to recover deleted bills, use this option.
  3. Previous: To view the last invoice, use this option.
  4. Next: To view the Next Entry, click on this option.
  5. Browse section: You can view all challan entries according to the options in the Browse section, such as Month wise, Date wise, Entry wise, etc.
