How to View Purchase Transaction Report in SwilERP (RetailGraph)


Meaning of Purchase Transaction.

Purchase Transaction means all transaction which is happened at the of purchased time, such as purchase, purchase return, purchase challan, purchase debit note, purchase credit note, branch transfer, etc. On the other way, Purchase Transaction means the amount charged by the supplier of goods or services purchased by the buyer.

In the SwilERP, there is an option to view the Purchase transaction report in the Reports section.


Follow these instructions on how to view the Purchase Transaction report:

Start with Login in the SwilERP dashboard to initiate the process:

  1. Go to the Reports.
  2. Select Purchase Reports > Purchase Transactions.

How you can view the report on the next slide:

  1. Go to the Purchase tab.
  2. Select the Date-Range 'From to To'.
  3. Select any option in which Summary / Detail / Month wise / Day wise; you want to view the details.
  4. Select any Transaction of purchase.
  5. If the users want to apply a filter, they can use it in the Vendor tab.
  6. You can select Sales Person Series and Invoice Attribute if required.
  7. Now, click on the View tab.

How to convert the report into a Chart form:

  1. Select the Purchase tab.
  2. Click on the Chart tab to convert data into chart form.

 How to view details Area-wise:

 If the user wants to view details in the report area-wise, they have to follow the below easy steps:
  1. Go to the Area tab.
  2. As per requirements, select any option in the below given:
  1. Region
  2. Area
  3. Locality
  4. Vendor
  5. Refer By Region
  6. Sales Person, etc.
  1. After selecting the above option, click on the View tab.

How to view detail Station-Wise:

  1. Go to the Station tab.
  2. If the user wants to view the details of Station-wise in their report, they can select any option given below options:
  1. Country
  2. District
  3. Vendor
  4. First Refer By
  5. State
  6. Station, etc.
  1. After selecting the above option, click on the View tab.

How to analyze the details:

  1. Go to the Analysis tab.
  2. Select the Date Range from which you want to analyze data.
  3. Click on the View tab.
  4. Use the field list to arrange fields in a Pivot Table.
  5. After choosing fields, you will see the data in Analysis Grid.
  6. Enter the name and click on the Save tab to save this report.
  7. If you want to open the previous report, enter that report name and click on the Open tab.
  8. Users can Remove/Export, and Import the report as their requirement.
  9. You can set Grid as per the requirement.

How to use the Areas Section:

  1. Use the areas section (at the bottom) of the field list to rearrange fields the way you want by dragging them between the four areas. 
  2.  Fields that you place in different areas are shown in the PivotTable as follows:
  1. Filters  
  2. Columns
  3. Rows
  4. Values

How to view the analysis data in chart form: 

  1. From the Analysis tab.
  2. After analyzing the data, you can convert it into chart form by clicking on the given chart option.

How to view Raw Data:

  1. If the user wants to view the 'Raw Data' of a purchase transaction, they can select the given Raw Data option.

How to take Print and Preview of this report:

  1. Go to the Display tab.
  2. To take the printout, click on the Print and Preview tab.

How to export data in Excel format: 

  1. From the Display tab.
  2. Click on the 'T' point to export the report.
  3. Inside the 'T' point, given many export options, select as per the requirement.
