How SwilShare Works in SwilERP (RetailGraph)


SWIL Introduces SwilShare, enabling direct sharing of sales invoices through Email and WhatsApp to customers. To utilize this feature, updating Email and WhatsApp settings within SwilERP  is essential. Follow the steps below to configure the settings and utilize SwilShare for seamless invoice sharing.

Now share transactions and reports via link available in all our ERPs.

Note: Ensure you installed SwilERP's latest version in your system to share attachments on your WhatsApp messages & Emails.

Start with login in SwilERP dashboard to initiate the process

Step: 1 Create Schedule for Email/WhatsApp

  1. Go to the Tools menu> Schedule SMS/Email option.
  2. After that, a new window of Schedule SMS/Email will appear.
  3. Select Schedule For as Transaction in the column.
  4. Select Email/WhatsApp in Schedule column for creating a new schedule.
  5. Now, select Sales Invoice in Transaction/Reports column.
  6. Tick mark on the Send As Attachment option.
  7. By default, the attachment path is PDF, but if you want to choose another file format, then you can select it.
  8. Click on the Save option.

Step: 2 Update Email & WhatsApp Settings

To share sales transactions on WhatsApp or Email, you have to configure settings in SwilERP software. To know the further process in software, go through the below-given reference link.



Step: 3 Generate Sales Invoice

After creating schedule, now you have to generate the sales invoice. While saving the invoice a pop-up window will appear to share transaction on Email/WhatsApp.
  1. Go to the Sales Menu> Sales Invoice option.
  2. A new window of Sales Invoice will appear in the next slide.
  3. Click on the New button to create a new invoice.

  1. Now, update the Customer & Product details in columns. Read More: How to Create Sales Invoice.
  2. While saving the sales invoice a new pop-up window will appear on the screen.
  3. Click on the Send button to share the transaction.

  1. After sharing the transaction, the SwilShare Link and invoice PDF are shared on WhatsApp or Email.
  2. The link will redirect you to SwilShare home page, where you can find your invoice PDF and other details.

How to View Invoice Details on SwilShare

With this option, the user can view their sender or receiver information and document details.
  1. Go to the Sales Menu> Sales Invoice option.

  2. After that, you'll see a URL option. Click on it and Copy the URL.

  3. Remember, this link is for selected invoice.

  1. Now, paste & run the Copied link into Google Chrome.
  2. After that, the Details of Selected Invoice will appear on the screen.
