How to Implement Audit Trail (Edit Log) Feature in SwilERP (RetailGraph)


Audit Trail (Edit Log) feature will be implemented from 1st April 2023 onwards in accounting software, according to the recent notification. This rule is mandatory for accounting software users. With this feature, you can record all transactions and track any changes made or modifications. In SwilERP software, the audit trail feature has been added to record all your edited transactions and track the records for the same.

Who is eligible for Audit Trail Rule?

The audit trail (edit log) rule does not apply to all businesses. This rule applies only to those companies that fall under the Ministry of Corporate Affairs (MCA) purview or companies whose type is GSTIN. For example, "All Public and Private Limited Companies."

Step:1 Enable Audit Trail Feature

The first step is users have to enable the audit trail option in registration window.
  1. Open SwilERP software and go to the login window.
  2. Click on the Registration option, and this window will ask you to enter a Password.
  3. For password, you can contact our Swil.Support team or contact your local service provider.

  1. After that, a new window of Client Registration will appear in the next slide.
  2. Here you will see Audit Trail option.
  3. Tick-Mark on it and click on the Register option.
  4. Again enter the password, and the option is enabled for the user.

Note: To register this feature in your software, you have to connect with our SWIL Support Team.

Step:2 Audit Trail details option in SwilERP

  1. Login SwilERP software and go to the Options Menu.
  2. Here you will see Audit Trail option, click on it.

  1. A window of Audit Trail Detail appears in next slide.
  2. Select the Date Range "From" to "To" in which you want to view the transactions.
  3. Here users can also select the Last User, User, and Product to view the details accordingly.
  4. With the Series option you can select transactions for which you want to view details.
  5. Click on the View option.

  1. For example, in this article you selected Last User & User as "Admin" and Product as "Coat(100.CM)."
  2. After that, in selected parameters the Edited Bills detail will appear on the screen.
  3. Here you will see details of transaction name, series name, entry number, time, modification date, etc.
  4. The Status column will let you know the edited bill's status, i.e. the bill is deleted or details are updated.

  1. Now, if you want to view Edited Bill details then Double Click on the particular entry.
  2. After clicking on it the Transaction window will appear on the screen.

Note: From the above-given process, users can track their transactions' records. Also when you enabled audit trail option in SwilERP software you can't clear transaction detail.
