Managing Promotions in SwilMart Admin

How to Manage Promotions in SwilMart Admin

Managing promotions in SwilMart Admin allows you to create, control, and monitor offers and discounts that help attract customers and boost sales. Using the admin panel, you can sync promotions from SwilERP, filter and search existing promotions, track their status, and update them when required.

This guide explains how to log in, sync, filter, search, edit, and manage promotions efficiently.

Step 1: Log in to SwilMart Admin

To start managing promotions, first log in to the SwilMart Admin panel.
  • Open the SwilMart Admin Login page.
  • Enter your registered email address.

  • Enter your password.

  • Click the Sign In button.

After successful login, you will be redirected to the SwilMart Dashboard.

Step 2: Access the Promotions Dashboard

The Promotions Dashboard provides a complete overview of all promotions.
  • From the left-side menu, click Promotions.
  • The Promotions Dashboard opens, displaying all available promotions.

Promotion Summary  

At the top of the dashboard, you can view a quick summary, including:
  • Total Promotions

  • Active Promotions

  • Expired Promotions

  • Promoted Variants

This summary helps you quickly understand the overall promotion status.

Step 3: Sync Promotions from SwilERP

You can sync promotions directly from SwilERP to ensure SwilMart Admin always has the latest data.
  • Click Sync from ERP.

The Sync Promotions from ERP window opens.
  • Review the information explaining that the latest promotions will be fetched from SwilERP.

  • Select the Business Type from the drop-down:

    • B2B

    • B2C

  • (Optional) Enable Force update all promotions if you want to update all promotions, even when no changes are detected in ERP.

  • Click Start Sync to begin the synchronization process.

Step 4: Filter Promotions

Filters help you quickly narrow down promotions based on specific criteria.
  • Go to the Promotions Dashboard.

  • Use the Filters panel on the left side.

Quick Filter Options  

You can filter promotions by selecting:
  • Active Promotions – View currently active promotions
  • Percentage Discounts – View percentage-based offers

  • Amount Discounts – View fixed-amount discounts

  • B2B Promotions – View promotions applicable to B2B

  • B2C Promotions – View promotions applicable to B2C

  • Universal Promotions – View promotions applicable to all business types

  • Requires Code – View promotions that need a promo or coupon code

  • Free Products – View promotions offering free products or free quantities

Step 5: Search Promotions

The search feature helps you quickly locate specific promotions.
  1. Go to the Search field in the Filters panel.
  2. Enter the promotion name, description, or promo code.
  3. Matching results will appear automatically.
  4. Press Esc to clear the search and reset results.

Advanced Filter Options

In addition to quick filters, you can refine your search using detailed filter options:
  • Status – Filter promotions by status (Active or Expired).
  • Business Type – View promotions based on B2B or B2C.

  • Promotion Type – Filter by discount type such as:

    • Percentage

    • Amount

    • Free Product

    • Free Quantity

  • Applies To – View promotions based on where they are applied.

  • Valid Period – Filter promotions within a selected date range.

  • Priority – View promotions based on assigned priority levels.

  • Code Required – Filter promotions that require a promo or coupon code.

  • Statistics – View quick counts of Total, Active, B2B, and B2C promotions.

Step 6: Edit a Promotion

You can edit an existing promotion to update its details, validity, or applicable products.
  • Open the Promotions Dashboard.
  • Click on the promotion name you want to edit (for example, Scheme Discount).

  • The promotion details page opens with tabs such as Overview, Applicable Products, Benefits & Criteria, Timing & Validity, and Settings.

  • Click the Edit button at the top-right corner.

Update the required details:

  1. Basic information
  2. Settings and applicability
  3. Validity period
  4. Click Update Promotion to apply the changes.

Step 7: Manage Promotion Actions  

You can manage existing promotions using the Actions (⋮) menu.
  • Go to the Promotions Dashboard.
  • Click the three-dot (⋮) menu next to a promotion.

  • Choose one of the following actions:

    • Edit – Update promotion details

    • Deactivate – Temporarily disable the promotion

    • Delete – Permanently remove the promotion

This helps you quickly control the status and availability of promotions.
